How to use open additional users's mailboxes in Outlook

This page contains instructions on how to setup Outlook and Exchange server so that a user can open additional mailboxes (in addition to their own). These instructions are valid for Outlook 2003 and above, when connecting to Exchange server 2003 and above only.

Procedure:

These procedures are all done from Workstations (rather than the server), and assume that the workstation and user are signed into the domain, and has Outlook configured to read your mailbox on the exchange server.

Part 1 - Telling Exchange that a user's mailbox is available for other users to open.

NOTE: For Part 1, you need to be in front of the workstation that is signed in as the user whom you wish to let other people open their mailbox.

1. Launch Outlook.

2. Make sure that the folder list is visible (from the View menu, select Folderlist.)

3. Right click on the "Mailbox - Uusername" at the top of the tree, and choose Properties.

4. Click Permissions.

5. Click the Add button. Select the user(s) that you want to have access to your mailbox, and then click the Add button, and then Ok.

6. Highlight the user(s) and then tick the "Folder Visible" box, and the click Ok.

7. Right click on the folder that you want to make available to other users (for example, Inbox) and choose Properties. 

8. Click Permissions.

9. Click the Add button. Select the user(s) that you want to have access to your mailbox, and then click the Add button, and then Ok.

10. Highlight the user(s) and then select the appropriate permissions for this user from the tick boxes or pull down menu below (for example, "Publishing Editor" or similar, then click OK.

11. Repeate steps 7 through 10 for each additional folder that they need access too (ie. Sent Items, Calendar, Deleted items etc).

Part 2 - Opening an additional user's mailbox in outlook.

NOTE: For Part 2, you need to be in front of the workstation that needs to open the additional user's mailbox.

CHOICE: You have 2 choices here. Choice 1: You may open individual folder(s) in the other users mailbox, or... Choice 2: You may open entire other user's mailbox(s), and will be able to browse all their folders that you have been given permission to.

CHOICE 1:

1. Launch Outlook.

2. From the File menu, click Open, then Other Users Folder. Either type in, or select, the other user's name, and then choose what folder to open, then click Ok. Your Done!

CHOICE 2:

1. Launch Outlook.

2. From the Tools menu, click Email Accounts (or on older outlook versions... Services).

3. Click View or Change, then Next, then Exchange Server, then Change (or on older outlook versions... click Exchange server, then Properties)

4. Click on More Settings, then the Advanced tab (or on older outlook versions... just click the Advanced tab).

5. Click the Add button and type in the username of the additional mailbox to open, and click Ok. Repeat this step for any additional mailboxes to open.

6. Click Ok.

7. Click Next, then click Finished (or in older outlook versions... click Ok, Ok). Your Done!
